TERMS & CONDITIONS

Terms for working with The Render Room.

These Terms & Conditions explain the scope of The Render Room’s services, client responsibilities, payments, revisions, cancellations, and other important conditions.

1. SERVICES — The Render Room provides virtual interior design, styling guidance, realistic visual concepts, product sourcing, shopping plans, and, for qualifying packages, design-side implementation support and contractor sourcing. The exact deliverables, revision allowance, and level of support are determined by the package purchased or the written custom proposal accepted by the client.

2. PAYMENT — Fixed-price services must be paid in full before work begins unless otherwise stated in writing. Custom, Complete Room, and Whole Home projects may require a deposit, milestone payments, or full payment according to the approved proposal or invoice. Clients are responsible for applicable taxes, contractor charges, product purchases, delivery fees, installation costs, and other third-party expenses unless expressly included in writing.

3. PROJECT START & TIMELINE — Payment alone does not begin the project timeline. Work begins after The Render Room confirms receipt of a complete intake, usable photographs, required measurements, and all other necessary project materials. Estimated delivery times are described on the Delivery & Revisions page. Timelines may be extended when client responses, files, approvals, measurements, product research, or third-party availability are delayed.

4. CLIENT RESPONSIBILITIES — The client agrees to provide complete and accurate information, measurements, photographs, preferences, budget details, restrictions, and timely feedback. The client is responsible for confirming that recommended products fit through doors, elevators, stairways, and into the intended space before ordering. The client is responsible for obtaining landlord, HOA, building-management, permit, engineering, architectural, or other required approvals.

5. DESIGN CONCEPTS & RENDERINGS — Renderings and visual concepts are provided to communicate design direction. They are not architectural plans, engineering drawings, permit documents, construction documents, or guarantees of exact color, scale, lighting, texture, or final appearance. Actual results may vary because of lighting, materials, construction conditions, monitor settings, product substitutions, workmanship, and other factors.

6. REVISIONS & SCOPE CHANGES — Included revisions are stated on the Services and Delivery & Revisions pages. One revision round means one consolidated list of feedback submitted at the same time. Revisions are intended to refine the approved direction. Requests for a new style, new layout, additional room, expanded sourcing, construction planning, or a substantially different concept may require an additional fee.

7. CANCELLATIONS & REFUNDS — Because The Render Room provides personalized digital services and reserves project time upon purchase, all sales are final once work has begun. A request to cancel must be submitted in writing before the project intake is approved and before design work begins. If cancellation is approved before work begins, The Render Room may issue a refund less payment-processing fees and any nonrefundable administrative or consultation costs. Once research, sourcing, consultation, concept development, rendering, project coordination, or any other service work has begun, payments are nonrefundable. Completed digital deliverables, purchased consultation time, rush fees, additional revisions, and custom work are nonrefundable. If The Render Room is unable to provide the purchased service, the client will receive an appropriate refund for the unperformed portion.

8. PRODUCT SOURCING & PURCHASING — Product recommendations are based on information available at the time of sourcing. Prices, promotions, stock, shipping charges, lead times, return policies, materials, finishes, and product specifications may change. Unless otherwise agreed in writing, the client purchases products directly from third-party retailers and is responsible for reviewing retailer terms, returns, warranties, delivery conditions, and final specifications. The Render Room is not responsible for retailer errors, discontinued items, damaged deliveries, delayed shipping, inaccurate listings, product defects, or manufacturer performance.

9. CONTRACTORS & THIRD-PARTY PROVIDERS — The Render Room may research, identify, recommend, or help coordinate independent contractors, installers, painters, electricians, trades, vendors, and other service providers. These providers are independent businesses hired directly by the client unless expressly stated otherwise in writing. The client is responsible for reviewing licenses, insurance, qualifications, contracts, estimates, and references before hiring. The Render Room does not guarantee or warrant a third party’s pricing, availability, scheduling, licensing, insurance, safety, conduct, workmanship, materials, or performance.

10. NO LICENSED CONSTRUCTION OR PROFESSIONAL SERVICES — The Render Room does not provide architectural, structural-engineering, electrical-engineering, plumbing-engineering, legal, permitting, inspection, or licensed construction services. Any structural, electrical, plumbing, code, safety, or permit-related decision must be reviewed by an appropriately licensed professional.

11. INTELLECTUAL PROPERTY — The Render Room retains ownership of its design concepts, renderings, layouts, presentations, templates, written materials, and other original work. After full payment, the client receives a personal, nonexclusive license to use the completed deliverables for the property and project for which they were created. Deliverables may not be resold, copied for another property, commercially distributed, or presented as another designer’s work without written permission.

12. PORTFOLIO USE — Unless the client requests confidentiality in writing before work begins, The Render Room may photograph, display, and share project concepts, renderings, before-and-after images, and completed work for portfolio, website, social media, editorial, and marketing purposes. The Render Room will not intentionally publish private personal information.

13. COMMUNICATION & PROJECT PAUSES — Clients should respond to requests, approvals, and revision questions within 7 calendar days. Projects may be paused when information, approvals, payments, or feedback are delayed. Projects inactive for more than 30 days may require a restart or reactivation fee and may be rescheduled based on current availability.

14. LIMITATION OF LIABILITY — To the fullest extent permitted by law, The Render Room is not liable for indirect, incidental, special, consequential, or punitive damages, including lost profits, lost rental income, delays, property damage caused by third parties, or losses resulting from purchasing or implementation decisions. The Render Room’s total liability relating to a service will not exceed the amount the client paid directly to The Render Room for that service.

15. NO GUARANTEE — The Render Room does not guarantee increased property value, rental income, occupancy, resale price, listing performance, social-media engagement, or any other financial or commercial result.

16. GOVERNING LAW — These Terms are governed by the laws of the State of Utah, without regard to conflict-of-law rules. Any dispute will be brought in a court of appropriate jurisdiction located in Utah, unless the parties agree to another written dispute-resolution process.

17. CHANGES TO THESE TERMS — The Render Room may update these Terms from time to time. The version in effect when a client purchases or accepts a proposal will govern that project unless otherwise agreed in writing.
